How to Approve Colors for Custom Bag Production

Color approval is a critical part of custom bag production because the same color can appear different across fabrics, coatings, webbing, zippers and hardware. A clear approval process helps buyers control the final appearance and reduce disputes caused by screens, lighting or material variation.

Use a physical color reference

Digital screens are useful for discussion but should not be the final approval standard. Buyers should provide a Pantone reference, approved swatch or physical sample whenever possible. The selected color system should match the material supplier and production method.

Understand material-related color differences

Polyester, nylon, canvas, mesh, webbing, PU and metal finishes reflect light differently. Two components made to the same color reference may not look identical. The buyer should decide whether an exact match or a coordinated tonal match is required.

Approve colors on the actual material

A printed paper chip does not show how a color will appear on textured, coated or woven material. Ask for a lab dip, strike-off or material swatch using the intended fabric and finish. Review it next to the other main components.

Control lighting during review

Colors can change under daylight, warm indoor light and cool fluorescent light. Review samples under consistent lighting and record the conditions when color accuracy is important. Buyers in different locations should avoid comparing photographs taken under unknown lighting.

Use photographs only as supporting evidence

Photographs can help communicate differences, but camera settings, compression and displays can change the visible color. Final approval should be based on a physical reference or an agreed supplier standard, not only a phone image.

Confirm dye lots and material batches

Materials from different dye lots may show visible variation. For products using large panels or matching components, the supplier should control batch consistency. Reorders may require a new approval if the original material lot is no longer available.

Match webbing, zippers and hardware

A bag may combine main fabric, lining, mesh, webbing, zipper tape, thread, pullers and metal hardware. Buyers should review the complete color combination rather than approving each item separately. Some components may be intentionally darker or lighter to create contrast.

Approve printing and logo colors

Printed, embroidered and molded logo colors should be checked on the selected base material. Background color can change the visual result. Metallic, fluorescent and gradient effects may need special samples or production limits.

Record acceptable tolerances

When an exact match is not technically realistic, define an acceptable range using approved swatches. Written notes should explain whether small tonal differences are acceptable between different material types.

Check the pre-production sample

The final sample should use production-intent materials and components. Compare the complete product against the approved swatches in consistent lighting. Confirm that the color combination matches the brand direction before mass production.

Inspect color during mass production

Production inspections should compare random units from different cartons. Check for panel variation, mixed lots, discoloration, stains and inconsistent components. Large orders may need material-lot control records.
