Custom Bag Sampling Process: From Concept to Approval

A practical guide to custom bag sampling, including feasibility review, materials, prototype revisions, pre-production samples and final approval.

The sampling stage turns a product idea into a physical reference that can be reviewed before mass production. A structured custom bag sampling process helps buyers control design changes, confirm materials and reduce production risk. The goal is not simply to receive a sample, but to create a final approved standard that the factory can reproduce consistently.

Stage 1: Submit a complete project brief

Begin with the product category, target user, estimated quantity, target price level and required delivery date. Add drawings, reference products, measurements, material preferences, logo artwork and packaging requirements. When the project is still at concept stage, explain the intended function and the problems the product should solve.

Stage 2: Manufacturing feasibility review

Before cutting materials, the development team should review the structure, sewing access, reinforcement, component availability and cost implications. Some design details may look attractive in a drawing but be difficult to manufacture consistently. A feasibility review identifies these issues before time and material are spent on a sample.

Stage 3: Material and component confirmation

Confirm the main fabric, lining, foam, mesh, webbing, zippers, buckles and hardware. When exact materials are not available, the supplier should present alternatives with differences in appearance, performance, cost and lead time. Color swatches and component references should be approved before the sample is assembled.

Stage 4: First prototype sample

The first prototype is used to evaluate the basic structure, dimensions, capacity and function. It may not include every final branding or packaging detail. Buyers should test the intended contents, opening methods, pocket access, carrying comfort and overall proportions.

Stage 5: Record revisions precisely

Sample comments should be specific and measurable. Use marked photos, numbered comments and updated drawings. Replace vague instructions such as “make it better” with clear requirements such as “move the zipper opening 20 mm upward” or “increase the laptop sleeve foam to the approved thickness.”

Stage 6: Revised sample

The revised sample should incorporate the agreed changes. Review every previous comment, not only the most visible areas. Check dimensions, material substitutions, logo placement, stitching, symmetry, hardware and functional details. If new changes are introduced, record them as a new revision rather than relying on memory.

Stage 7: Pre-production sample

When the design is stable, a pre-production sample should be made with the approved production materials, colors, components, logo and packaging details. This sample becomes the main reference for mass production and final inspection.

Stage 8: Written approval

Approval should be documented with the sample version, date, approved tech pack and any accepted deviations. Production should not begin while important details are still unresolved. A signed or clearly confirmed approval record protects both buyer and manufacturer.

Control changes after approval

Any change after the pre-production sample can affect price, material purchasing and delivery time. The supplier should explain the impact and obtain written approval before implementation. Buyers should avoid mixing old and new instructions across different files.

How long does sampling take?

Timing depends on design complexity, material availability, custom components, logo methods and the number of revisions. A clear brief and fast feedback shorten the process. Projects with special molds, custom-dyed materials or testing requirements normally need additional time.
